Who we are
ikai is an AI automation consultancy based in Melbourne, Australia. We design, build and run custom automation and dashboards for small and medium businesses. In this policy, "we", "us" and "ikai" mean ikai; "you" means anyone who uses our website, tools or demo platform.

What we collect, and why
We only collect what we need to answer you and provide our services. Specifically:
- Booking & contact. When you book a consultation or get in touch, we collect your name, email, phone number and company details, plus your chosen time — so we can respond, schedule the call and help you.
- Career applications. If you apply for a role, we collect your name, contact details and the resume and cover letter you send — to assess your application and reply.
- ROI calculator. The calculator runs in your browser. If you choose "email me this breakdown", we collect your email address and the figures you entered — to send you the report and, where relevant, follow up.
- Website assistant. If you use the chat assistant on our site, the messages you send are processed by our AI provider (Anthropic) to generate a reply. Don't include sensitive information in the chat.
- Demo platform (demo.ikai.com.au). When you create a demo, we collect your email, name, company, mobile number, industry, team size and the modules you select — to run your personalised demo and follow up about our services. The dashboards you see contain fictional sample data only — never real business data.
- "Ask ikai" (in the demo). Your questions are sent to Anthropic's Claude API to generate answers from the demo's sample dataset. These questions are not used to train AI models. We log the number of questions asked (to apply a fair-use limit) — not the content of your questions.
- Analytics. We use Google Analytics 4 across ikai.com.au and demo.ikai.com.au, including cross-domain measurement, to understand how our sites are used. We also use Google Ads conversion measurement to see which marketing brings people to us. This involves cookies and usage data (such as pages viewed, approximate location and device/browser information).
Cookies
We use a small number of cookies:
- Demo session cookie — set when you sign in to the demo, to keep you logged in. It's essential to the demo working.
- Analytics cookies — set by Google Analytics to measure site usage and to link your journey between ikai.com.au and demo.ikai.com.au.
You can block or delete cookies in your browser settings; some features (like staying signed in to the demo) won't work without them.
Who we share data with
We use a small set of trusted service providers to run our sites and services. They only process your information on our behalf, to provide their service to us. We do not sell your personal information.
- Cloudflare — hosting, content delivery, compute and database storage for our websites and demo platform.
- Google — Google Analytics 4 (site analytics) and Google Ads (conversion measurement).
- Resend — delivery of transactional emails, such as demo sign-in links and internal notifications.
- Anthropic — the Claude AI service that powers the website assistant and the demo's "Ask ikai" answers.
Where your data is stored, and how we protect it
Your information is stored with the providers above on their secure infrastructure. Our demo platform database is hosted in the Oceania (Australia) region. Data is encrypted in transit using HTTPS/TLS. Access is limited to ikai people who need it to do their job. Some providers (for example Google) operate globally, so some data may be processed overseas.
How long we keep it
We keep personal information only while it's relevant to responding to you or providing our services, and for as long as we're required to by law. Demo accounts and their associated data are deleted on request — just email us.
Your rights
Under the Australian Privacy Principles you can:
- Access the personal information we hold about you;
- Correct anything that's wrong or out of date;
- Ask us to delete your information, including your demo account and data.
To make a request, email [email protected] and we'll action it as soon as we reasonably can. If you're not satisfied with how we've handled a privacy matter, please raise it with us first — and if it's still unresolved, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Children
Our services are intended for businesses and are not directed at children. We don't knowingly collect personal information from anyone under 16.
Changes to this policy
We may update this policy from time to time as our services change. When we do, we'll update the "last updated" date at the top of this page.
